Job Description and Job Responsibilites

Job Title:  File / Scanning Clerk

Job Summary: 

Responsible for scanning, indexing all incoming documents into the Horizon Business Folder (HBF) system in a timely manner. Pull data for audits and assist with special projects. Reports to CBO Supervisor(s) and or CBO Director

Essential Job Duties:  

  • Demonstrates competency when placing materials in the appropriate file in accordance with departmental filing systems.
  • Demonstrates competency when locating and removing requested information.
  • Maintains accurate records of materials removed from files.
  • Demonstrates competency when investigating missing information by searching files, contacting the last person to whom records were given.
  • Purges files of out-dated or unnecessary information in accordance with departmental policy and records retention timely.
  • Demonstrates competency when locating and pulling for special reports/projects in a timely manner.
  • Retains business office records in a readily retrievable fashion including files that are sent to the storage (Iron Mountain).
  • Maintains and controls receipt and proper distribution of all materials required by departmental employees.
  • Collects outgoing mail, meters the mail appropriately, and then delivers to the hospital operator for pick up.
  • Scans and indexes all documents received in a timely manner.
  • Prepare batches accordingly
  • Sort correspondence by the facility
  • Validate data scanned appropriately, then work any error ques that occur on each encounter
  • Performs all other duties and special projects as assigned.
