Job Title: Associate Administrator (AA)

JOB SUMMARY
Responsible for managing the day-to-day operations of the hospital according to the mission, vision, values, established plans, operating procedures, and legal and regulatory requirements. Responsible for ensuring the provision of appropriate, cost-effective, quality driven patient care through the management and development of the hospital leadership. A member of the Executive Team, the AA assists the Hospital Administrator in developing, implementing, and monitoring strategic plans, operating goals and budgets. AA is accountability for the hospital’s ancillary and support service departments and for overseeing performance improvement activities, while working collaboratively with the medical staff and leadership in support of financial, process improvement and risk management goals. In addition to hospital-specific duties, AA may be responsible for the management and direction of one or more System-wide support functions.


ESSENTIAL JOB DUTIES:
• Possesses strong leadership skills including the willingness to pursue roles with increasing levels of accountability, coaching, teaching, inspiring, forging alliances, and collaborating to negotiate resolution to issues.
• Manages all day-to-day operations in a quality and cost conscious manner ensuring that decisions are sound, fair and consistent with the goals of the organization and ethical practices.
• Maintains a high level of visibility in the facility; participating in team-building and employee programs; modeling and supporting direct and open lines of communication with the staff, medical staff, and customers to promote satisfaction.
• Streamlines support operations by standardizing all processes, systems, and procedures to maximize efficiency.
• Plans, organizes, and assigns operational activities to respective departmental directors/ managers, as delegated by the Hospital Administrator.
• Develops and installs procedures and controls to promote communication and adequate information flow to departments under his/her supervision
• Evaluates the results of overall operations regularly and systematically and reports these results to the Hospital Administrator.
• Participates in the development of the hospital's strategic plan.
• As warranted, establishes and ensures employee participation in committees addressing patient care functions, systems and processes.
• Provides ongoing progress reports (verbal and written), to the Corporate Office of activities that contribute to achieving the hospital's and Avanti’s strategic plan. Responsible for oversight of the Environment of Care Committee and related activities and results.
• Ensures proper compliance with regulatory agencies, accrediting bodies, corporate and hospital policies and procedures and works to develop, implement, and maintain performance and improvement programs within the facility.
• Oversees sentinel event investigations and root cause analysis activities within the facility to reduce risks and increase patient safety.
• Reviews and analyzes facility occurrence reports to identify risk issues. Facilitates investigation and follow-up on events with the appropriate managers.
• Provides expertise in development, analysis, and reporting of organization dashboard, department dashboards and other dashboard reports.
• Coordinates and conducts all licensing, accreditation and other surveys/site visits with oversight agencies. Leads the organization's accreditation process.
• Prepares clinical quality screens of patient care and peer review activities. Refers variation in patient care processes and outcomes to physician reviewers, medical staff section and/or committees as appropriate.
• Attends medical staff and committee meetings to present information and/or coordinate between hospital functions and medical staff functions.
• Effectively manages financial and human resources within the area(s) of responsibility and in collaboration with other hospital departments, providing direction and setting expectations consistent with the goals of the organization.
• Serves as a role model for the Mission, Vision and Values of the organization.
• Ensure the effective management of the facilities resources by establishing and monitoring operating plans, communicating expectations, and providing feedback on a routine basis to ensure the fiscal accountability within of the organization.
• Serve as coach/mentor to hospital management to enhance leadership skills to create a culture of collaboration, safety and organizational excellence.
• Lead the development and implementation of service redesign as outlined by strategic initiatives.
• Assist with the achievement of strategic goals by continuously monitoring the organizations' performance against established capital, development, financial and workforce plans.
• Establish and maintain effective working relationships with the medical staff to ensure that their needs and concerns are heard and are addressed in a prompt and effective manner.
• Carryout all administrative details of the position including the signing of documents, preparing reports, completion of presentations, development and review of policies/procedures that require Administrative oversight.

EDUCATION/EXPERIENCE:
Bachelor's Degree in healthcare, nursing, or administration, Master's Degree preferred
Eight to ten years of related administrative experience, the minimum of which five years have been spent in a hospital setting or an equivalent combination of education and experience.

COMMUNICATION/KNOWLEDGE:
• Possess strong leadership skills including the ability to plan, prioritize, organize, analyze, execute on multiple tasks and adapt to changing environment.
• Effective written and verbal communication skills; able to communicate with various individuals both inside and outside the organization; and able to understand and create reports/presentations/proposals.
• Possesses strong leadership skills including the willingness to pursue roles with increasing levels of accountability, coaching, teaching, inspiring, forging alliances, and collaborating to negotiate resolution to issues.
• Ability to work under stressful situations.
• Proficient with computer systems including but not limited to MS Office.
