General Summary of Duties: 

The manager of the Hospital's Medical Staff Administration provides leadership, management, and operational oversight of the medical staff organization support services.  The manager works collaboratively with the president of the Medical Staff, the medical executive committee, and additional medical staff leaders to plan, organize, direct, and coordinate the programs and activities of the Medical Staff to ensure that the strategies of the Medical Staff are supported and there is adherence to the requirements of regulatory and accreditation bodies that are relevant to the organized medical staff.

Responsible for timely and thorough Hospital Medical Staff credentialing; active in the Quality Peer Review process and in monitoring compliance within the organization of credentialing process; and assists in the planning and implementation of goals, objectives, and standards relative to physician services for maintaining hospital accreditation and licensure. Serves as a resource and support to Hospital Administration.

Essential Duties and Responsibilities:

Manages the Hospital Medical Staff credentialing process including medical staff applications, providers appointments and reappointments and assures that the privilege delineation process is handled in an efficient, confidential, and timely manner.

Prepares the Credentials Committee agenda and is responsible for presenting credentials files to department chairs for review and approval.

Assures that all legal, State and Federal agency, State licensing boards and hospital accreditation guidelines/regulations are followed.

Provides for maintenance of a confidential computer database on all Medical Staff members reflecting current status, licensure, board certification and professional liability insurance and other information relative to credentialing.  Maintains and distributes current medical staff rosters and makes available to hospital departments and others as appropriate.

Assists with the Hospital Quality and Peer Review process assuring compliance with the Medical Staff Bylaws and Rules and Regulations.

Maintains the financial records and systems concerning dues and expenditures for the Medical Staff, including Medical Staff checking account, writing checks, and reconciling the bank statements.  Prepares monthly and annual statements of the financial position for the Medical Executive Committee. 

Preparation of agendas and related materials for meetings of the General Medical Staff, Departments and Committees.  Attends meetings, takes, transcribes, and distributes minutes and required.  Manages maintenance of official minute books of departments and committees. 

Acts as a resource person to the Medical Staff relative to all aspects of the medical staff organization and functions.

Assists in development of the budget for the department and allocates funds within budget limit to accomplish objectives.  Monitors variance against budget on an ongoing basis.

Works with the Quality Department to establish and maintain an effective OPPE/FPPE process that meets the needs of the Medical Staff and is compliant with regulatory and accreditation agencies.

Works collaboratively with Business Development and Outreach teams to support physician recruitment and retention strategies and tactics critical to the development, growth, and improvement of commitment levels by affiliated physicians with West Suburban Medical Center.

Responsible for key provider onboarding processes including the identification and resolution of internal and external barriers.  Works proactively with various leaders and staff to resolve physician/provider concerns.  Facilitates process in a manner that best represents West Suburban's commitment to bring new physicians and services to the community it serves.

Other Responsibilities:

Assists in the preparation and maintenance of department reports.

Keeps current with accreditation standards and legal requirements pertaining to medical staff credentialing.

Assists with the day-to-day operation of the medical staff office.

Performs other related duties as assigned or requested.


Position Requirements:

Bachelor’s degree, preferred.  Minimum of five years experience in a healthcare setting or Medical Staff/Credentialing Office.

Physical, Mental, Environmental Requirements:

Language Skills:  Excellent verbal and written communication skills

Other Skills:  Competent in use of Med Staff Software, Word, and Excel
